Programmverwaltung im Förderkontext
Für die KWB haben wir ein EspoCRM‑basiertes System geschaffen, das mehrere ESF‑ und bundesgeförderte Programme zentral verwaltet – von der Anmeldung über die Maßnahmenplanung bis zur Ergebnisdokumentation. Im Fokus standen ein lückenloser Förder‑Workflow, eine belastbare Datenbasis und maximale Transparenz gegenüber Fördergebern. Dazu kamen klare Rollen, sichere Zugriffsmodelle und automatisierte Berichte, damit die Teams Programme skalierbar und revisionssicher steuern können.
Challenge
Im Mittelpunkt standen hochsensible Personendaten, komplexe Förderlogiken und eine lückenlose Prozesskette von Anmeldung bis Ergebnisdokumentation. Unterschiedliche Programme haben eigene Förderrichtlinien, Laufzeiten, Zielgruppen und Nachweisanforderungen – das musste in einem System zusammengeführt werden, ohne an Nachvollziehbarkeit zu verlieren. Gleichzeitig sollte das Reporting für Fördergeber standardisiert, schnell und prüfbar sein, während die Sachbearbeitung mit möglichst wenig manuellen Zwischenschritten auskommt. Zusätzlich war eine saubere Trennung von Rollen und Zugriffsrechten notwendig, damit sensible Daten nur dort sichtbar sind, wo sie wirklich gebraucht werden.

Target State & Process Chain
Together with KWB, we mapped out the entire participant process—from registration and planning of activities to documentation of results. This resulted in a clear blueprint for roles, access rights, status levels, and required documentation for each program.
Funding Logic & Guidelines
The various funding guidelines were mapped as rule-based logic (duration, target groups, supporting documentation, waiting periods). This clearly defines when a transaction is permissible, which documents are required, and how eligibility is demonstrated.
CRM Customization & New Modules
We developed customized modules for participant, employer, and partner management, as well as for mapping the entire process chain, including action planning, participation history, and proof of results. Interfaces and fields were designed to ensure that data is recorded consistently and can be reused.
Workflow Automations
Notifications, deadlines, tasks, and status updates are triggered automatically. This allows teams to respond more quickly, shortens review cycles, and ensures that the entire process remains auditable and traceable.
Data Protection & Pseudonymization
Sensitive participant data has been pseudonymized. In addition, we have implemented IP restrictions, field permissions, audit logs, and clear role profiles—to ensure maximum GDPR compliance with minimal risk.
Reporting & Documents
Automated reports for funding agencies (PDF/Excel) and a centralized document management system with role-based access controls ensure transparency. Recurring reports can be generated at the click of a button and are archived in an audit-proof manner.
Data Migration & Quality Assurance
Inventory data has been consolidated, duplicates have been removed, and validation rules have been implemented. This provides a reliable data foundation for analyses, audits, and funding documentation.
Training & Go-Live
We provided role-specific training for the teams and supported their productive onboarding. This allowed the programs to continue running without interruption while the new processes were firmly established.
Technical Environment
Highly available infrastructure (3 servers, EU locations), EspoCRM on the LAMP stack, Python automations (Docker Swarm), SSL, 2FA login, daily encrypted backups with cloud and offline storage.
Result
Die KWB steuert heute mehrere Programme zentral, datenschutzkonform und transparent. Teilnehmerprozesse sind vollständig abbildbar, Förderlogiken sauber dokumentiert und Fristen werden proaktiv gesteuert. Berichte für Fördergeber entstehen automatisiert, die Dokumentenverwaltung ist klar strukturiert und revisionssicher. Insgesamt reduziert das System den administrativen Aufwand, schafft eine verlässliche Datenbasis und erhöht die Auskunftsfähigkeit gegenüber Prüfinstanzen.
